It may also be beneficial to require signup replies from the entire raid group, including those that are unable to attend; this can often save management the trouble of tracking down individuals that may have forgotten to sign up.
A standard way of handling signups is to use a web‐based forum system. Typically this involves posting a thread for every raid and having each member state his or her availability. Another common method which often built into forum systems, or a web‐based program specifically tailored to scheduling raids, such as phpRaider, is to use an online calendar application. These tools can often reduce the administrative burden significantly and make it much easier to delegate scheduling and slottng tasks to other members. Regardless of how you choose to handle signups, it is important that a list of signups, divided by role or class, be visible to the group so that it is easy to gauge what the raid is missing, allowing members to offer other characters or friends or notify members that may have forgotten to sign up.
It is inevitable that raids will be cancelled. The most common cause of this is a lack of signups, or a lack of people showing up for the raid after slots have been done. It’s always advisable to cancel the raid once it becomes apparent it will not be successful, this can range anywhere from 24 hours beforehand, up until the end of the raid. Cancelling the raid sooner, rather than waiting to see who shows up, is often beneficial, If there are not enough signups. This gives people a chance to do other activities and no time is wasted. If there are too few people present at the start of the raid, it’s best to give an ultimatum to the raid group, stating, for example, that if the raid isn’t full 15 minutes after the scheduled start time, it will be cancelled. And at last, if the raid is full, but is imbalanced or otherwise a failure at achieving its goals, it can be beneficial to cancel the raid after it has begun. This is not a particularly easy decision to make, some prefer to continue, stating that any amount of experience would be helpful; others would prefer not to waste the time on pointless boss attempts. In the end, the decision should be up to the raid leader, taking into account advice from other officers and members as well as the positive and negative affects the decision may have n the group’s morale.
